North Stafford High School’s swim team relies on coaches and booster-club volunteers to manage a busy season. One of its team administrators had already used Swimtopia for two seasons with a summer swim team and believed the same connected approach could make the high school program more efficient.
Challenges
North Stafford managed its season through eight separate systems: Google Sheets for the roster, Google Forms for registration, Gmail for email, Remind for notifications, Square for payments, SignUpGenius for volunteers, Team Manager for meet entries, and Meet Manager for competitions.
Because the systems did not work together, information had to be collected, transferred, reformatted, and maintained in multiple places. Administrators manually created email groups, monitored separate registration and payment systems, and reconciled volunteer sign-ups with the team roster.
Access was also limited. The coaching staff had one designated computer for meet entries, while the booster club shared one administrative computer. Coaches and volunteers regularly passed computers back and forth just to complete their responsibilities.
The tools technically worked—but the disconnected process surrounding them consumed an enormous amount of time.
