If you start with the Lite plan and decide you’d like to upgrade to Premium, we can upgrade your account without losing any data.
Teams subject to per-athlete fees will have those fees deducted automatically from any credit card registration payments once per year/per athlete. Teams have the choice to add the fees to their registration forms as a separate line item or to hide the fees from members. SwimTopia keeps track of each athlete in your system to ensure athletes are not charged more than once in a calendar year. Any teams that don’t use credit cards during registration, or who don’t take payments through SwimTopia, will be invoiced for additional athletes once per year at the conclusion of your swim season.
Summer teams will receive their athlete invoice in late June.
High school teams on the per-athlete billing plan will receive their additional athlete invoice in mid-February.
Year-Round Teams will receive their athlete invoice in April.
Our per-athlete pricing usually generates two invoices for teams, one at the time of signup (or on the team’s renewal anniversary), and one at the end of the season when we invoice for any athletes not covered by credit card registration payments. We’ve heard from school teams that arranging payment from school governing organizations for two separate invoices can be problematic given school restrictions around PO processes and procedures. For this reason, we are pleased to offer a second payment option for our school teams of one flat rate invoice, regardless of team size, to be invoiced annually on the team’s anniversary date.
As for which pricing option you should choose, it depends on your school. If you have a big team, the flat rate pricing is probably a lower overall price, easier to budget for, and easier to process with only one invoice per year. If you have a small team, you don’t mind potentially paying two invoices per year, and you’re cost-conscious, the per-athlete pricing might be right for you.
You can choose whether you want to pay the flat rate price, or the per-athlete price on the signup form. Or you can email billing@swimtopia.com to change your plan.
If your school has separate boys and girls teams, you can choose to use two SwimTopia accounts to manage the teams for the same price as one account. If your school chooses the per-athlete fee pricing, the school will be charged the upfront fee of $150 only once, and the athlete invoice will include all athletes in both accounts.
Payment processing fees of 3.4% plus 30¢ per transaction are charged by our payment processing partner to accept online credit card payments for registrations or online store purchases. There are no account setup or maintenance charges associated with teams’ payment processing accounts.
I love the "full features" that SwimTopia provides, from hosting a website that promotes the team, to actually hosting and running a swim meet. It handles registration & waivers, purchasing of merchandise, fee payment, meet entry, and meet management. And it is so easy to use.

Coaches and administrators love Swimtopia! Entry interface for Coaches is unmatched. Team management functions are easy to use, allowing a number of administrators to get up and running quickly. User Role access also very easy to implement. Support is incredibly good, which is necessary in this space, where panicked users are, I'm sure, are a constant.
We tried TeamUnify to help us manage registrations and communications and it was disastrous. The software and functionality was over-complicated. Set-up required days rather than hours. Tasks were not intuitive. Our parents literally begged us to go back to SwimTopia. SwimTopia is an actual utopia.
Going with SwimTopia was best decision we ever made. The website enables us to do team management of all aspects of our swim team. We were able to streamline registration, finally becoming paperless, stay on top of volunteer assignments, and availability of parents.
