Configuring Scoring by Division occurs in Meet Maestro after meet entries have been merged. Make sure you’re logged in with the right permissions — either as a Site Admin or with a role that allows swim meet management. Contact your team admins if you need access.
Access Divisional Scoring
Scoring by division gives teams the flexibility to group and score meet results in various methods — by team, event, time standard, or flighted meet.
After merging your meet in SwimTopia, you can enable scoring by division in Meet Maestro, set up your divisions, and choose the division assignment method that best fits your scoring requirements.
Access Divisional Scoring under Settings > Seeding & Scoring > Divisions
Enable Divisional Scoring
Slide the “Enable scoring by Division” bar to activate the division setup.
Create Meet Divisions
Once you’ve enabled divisional scoring, it’s time to set up your divisions. This crucial step organizes your meet results and allows you to apply scoring methods tailored to your needs. Here’s how to get started:
- Add A Division
- Click the “Add a Division” button to begin.
- Enter a unique division code and name for each division.
- Assign Points for the Division
- Pre-configured individual and relay points will display if already set up for your meet.
- If your team awards custom points for specific divisions, enable this setting. Adjust points as needed to reflect your team’s scoring system.
- Save and Add Additional Divisions
- Once you’ve completed the setup for a division:
- Click the Save button.
- Repeat the process to create additional divisions as needed.

Division Assignment Methods
After enabling scoring by division and adding at least one division, the screen will expand to reveal the Automated Division Assignment section. From here, you can select the best division assignment method for your meet setup.
Manual Division Assignment Method: By Entry
When it comes to division assignments, the default method, “None,” allows meet admins to manually assign divisions directly in the time entry interface for each athlete in each event. While this method provides complete control, it’s best suited for smaller meets or situations where specific manual adjustments are required.
Automated options are usually more efficient for meets with a large number of assignments. However, even when using an automated method, meet admins can manually override division assignments for specific events or athletes if the automated rules don’t cover every situation perfectly.
Manual division assignments are managed from the time entry interface. Click on the pencil in the “DIV” column to assign or edit the division for each entry.
A dropdown menu will open, allowing the selection of a division. The grey “dog-ear” in the top right of the division column indicates a manual edit was made to a division assignment.

Automated Division Assignment Methods
Meet Maestro offers four automated divisional scoring assignment methods. Once automated assignments are made, manual overrides can be applied at any time if needed.
Automated Division Assignment: By Time Standard
With the “By Time Standard” method, athletes are grouped and scored alongside others who meet the same time standard. Division assignments are handled automatically based on the time standard the athlete qualifies for in each event. As a result, each event will generate multiple sets of results and scores—one for each time standard.
Time Standards
Time standards must be created and applied to the meet to select them for the divisions. Time Standards for the meet are managed under Settings > Benchmarks.
If you have not yet created any time standards, you must do this before continuing. Time Standards are created on the SwimTopia side. Please see our Overview – Time Standards & Qualifying Times article for more details.
Division Assignment Method Configuration
Select “By Time Standard” from the division assignment method list and choose how to assign your divisions: by Entry Time or Finals Result Time.
Assign Time Standards to Divisions
Assign the time standards to the matching division and Save your assignments. Each time standard can only be assigned to one division.
Do you have a “Novice” division?
At least one division must have a time standard selected for automatic division assignments to occur, but you can have divisions that do not have any assigned time standard. Some teams set up a lower division (Novice) this way and athletes that do not meet any time standard are placed in this unassigned division.
In this example, Gold and Silver have Time Standards assigned, but Bronze does not.
Manual Division Assignment Changes
After automated division assignments, manual edits can be made if necessary by navigating to the Time Entry Interface, hovering over the Division column and changing the division. All manual edits are preserved once made, even if the automated assignment tool is re-run.

Automated Division Assignment: Flighted Meet
The “Flighted Meet” method organizes entries into evenly divided groups, or “flights,” based on athlete rankings. This approach ensures athletes compete against peers with similar performance levels. Each event will generate separate results and scores for each flight. This method is perfect for meets aiming to enhance competition by grouping athletes of comparable abilities.
Division Assignment Method Configuration
Select “Flighted Meet” from the division assignment method list, and configure each additional setting that applies. Don’t forget to Save your settings.
Flights based on Entry Time: you will set your “Number of flights,” decide if you want to “Exclude exhibition from flight split,” and determine how many entries for an event are required to be flighted.
Flights based on Finals Result Time: the only difference between this option and “Entry Time,” is that DQs can also be excluded from the flight split.
Manual Division Assignment Changes
After automated division assignments, manual edits can be made if necessary by navigating to the Time Entry Interface, hovering over the Division column and changing the division. All manual edits are preserved once made, even if the automated assignment tool is re-run.

Automated Division Assignment: By Team
Teams from different divisions compete in the same event, with results and scores separated by division.
Example: In a meet featuring A, AA, and AAA high schools, athletes from all divisions compete in each event. The results for each division are scored independently, such as 1st place for A, 1st place for AA, and 1st place for AAA, ensuring fair competition within each division.

Select “By Team” from the division assignment method list, and assign each team participating in the meet to a division.

Automated Division Assignment: By Event
Athletes in each division compete in separate events, with each event scored individually.
Example: In a meet featuring JV and Varsity teams, separate events are created for each stroke and distance for JV and Varsity, ensuring each division is scored independently.

Assign the division to the matching event, and Save your setup. If you have grouped events, you can assign each sub-event individually.

Shortcut Tip: You could create the division with the least number of athletes and assign that division to applicable events. All other athletes will display under a “No Division” grouping in reports but still be scored separately.

After automated division assignments, manual edits can be made if necessary by navigating to the Time Entry Interface, hovering over the Division column and changing the division. All manual edits are preserved once made, even if the automated assignment tool is re-run.

Change Your Division Configurations
You can change the selected assignment method at any time. This is done from the Divisions screen in the Seeding & Scoring settings. Simply select a different assignment method from the automated division assignment dropdown menu. You may also edit how your divisions are defined or delete a division from this screen.
When division assignments exist, disabling/re-enabling the “Scoring by Division” feature, changing the assignment method, or updating/deleting divisions will initiate removing or reassigning divisions that were automatically assigned. You will be prompted to confirm before this takes place.
Note: Manual division assignments will be preserved in the database if scoring by division is re-enabled.
If any events have been scored, you will be prompted to confirm whether you want to rescore the meet.
Rescoring can trigger push notifications of results to the SwimTopia mobile app, so rescoring should only be necessary when changes are made after events have been scored.
View Divisions in Meet Maestro Reports
Division assignments will display in reports when scoring by division is enabled and at least one division has been defined. You will be able to filter by division in some reports. The division will be displayed in the report title when filtering. Below is a sampling of reports using divisional scoring.
Heat Sheet and Psych Sheet
If ALL divisions are selected, the Heat Sheet and Psych sheet will display as usual with all athletes in the meet; however, you can filter by division and see only athletes competing in that division.
Results Report
When ALL divisions are selected, results for all athletes entered into each event will be grouped by division.
For Time Standard meets with athletes who have not achieved a time standard or Flighted meets with Exhibition and DQs excluded, these athletes will be sorted as “No Division.”
When a Division is selected, points and placements for that division are displayed, with the report header showing the selected division.
Team Scores Report
Team Scores can be grouped by division (check box) but will still show an overall score.

Divisions in SwimTopia and the Mobile App
Divisions are not currently supported in the SwimTopia team management system or the SwimTopia mobile app. This will be added in a future release.
