Getting Started with SwimTopia is easy. Customers new to SwimTopia sometimes ask, “What is your set up fee?” and the answer is, we don’t have one. Getting started with SwimTopia is so easy and intuitive you can set up your swim team website in hours or days, not weeks. Between our comprehensive Help Center and our accessible Customer Happiness Team, we’ve had customers tell us they have been up and running in 4-5 hours!

SwimTopia seamlessly supports other popular swim team management file formats for easy file transfer. You can export your team’s roster and time history and once you upload your team roster data you’re ready to start populating your swim team’s website with content. Using our Website Manager you can cut and paste from your Team Handbook or your previous website for easy content creation, and our web editing “snippets” let you simply drag and drop to add maps, pictures, logos, contact forms and more. Let our Customer Happiness Team customize your look and feel with your team’s colors or a background photo of your choice.

Creating your online registration form is easy, we’ve already thought of everything you’ll need: capture medical information, liability waivers with legally binding electronic signatures, sign up for volunteer positions, order your team shirt, accept online payment, or checks, and more. Once you’ve created information the first year you use SwimTopia you’ll easily be able to copy your registration form, meets and calendar items from the previous season to the new one.

Getting the Most Out of Your Swim Team’s Website

In a short time you’ll have your site functional but we have so many flexible features, and contingencies covered, there may be things your SwimTopia site can do that you don’t even know about. If you think of something you wished SwimTopia could help you with the first step is a quick search in our Help Center. You’re likely to find we have you covered! Search the terms related to what you want to do.  Some features you may not be using to capacity include:

  • Your Online Team Store: This feature is not only helpful for selling merchandise and sponsorships but you can also use it for swim clinic signup and selling tickets to events like your team banquet. You can use the inventory features to set limits, controlling when the events have sold out.
  • The Reports area: Go to Manage Team > Reports and see all the interesting things you can learn about your team, and ways you can email groups from various reports. Some favorites include: the “Athlete Roster” report that allows you to report on, and then directly email, the parents of a certain age group; the “Missing Entries” report that allows you to email just the folks that have not yet declared whether or not they are attending the meet; and the “Volunteering Assignments Summary” report which is useful to quickly email members who have swimmers attending a meet and may be available to work a shift.
  • Volunteer Management Options: We have heard of so many different ways swim teams like to manage their volunteers and we’ve tried to offer volunteer job setup options to cover all the bases! As you look through our customizable options you may learn new ways to incentivize and reward your volunteers.
